Okay.

Unassigned speaker

0:27

Okay.

Speaker 2

0:28

I just I assumed

Unassigned speaker

0:30

that

Speaker 1

0:30

everybody had a login, but I did wanted to make sure.

0:38

Right.

0:38

And then so yeah, so we'll use your will use your boards and commission site for training today.

0:45

And that's just the Napa City.granicus.com.

Unassigned speaker

0:49

Okay.

Speaker 1

0:52

All right.

0:53

So team, today we're gonna be kind of going through the ins and outs of boards and commissions.

1:00

I know that you had noted on our call um a couple weeks ago that you had some kind of questions that you specific questions that you had.

1:10

So we'll definitely address those questions as we go through.

1:14

And then if you have any other questions or wonderings, you know, I want this session to be um as productive as possible and to for you to get the most benefit.

1:25

So if there is any other sort of wonderings or questions um that you want to address today, please feel free just to let me know.

Unassigned speaker

1:35

And

Speaker 1

1:35

team, I will oh, sorry, go ahead.

1:38

No, no, so that sounds

Unassigned speaker

1:39

good.

Unassigned speaker

1:39

Okay.

Unassigned speaker

1:40

I

Speaker 1

1:40

was gonna say too, team, I'm gonna approach this as um, so with with retrainings, um, one of the things is I kind of approach these sessions as okay, you have some foundational knowledge of the system, right?

1:53

So we're not gonna start with like the basics of like here's how you log in, you know, here's how you access boards and commissions, because you know that, right?

2:01

But if there is a specific question, like I said, that you want to address that you feel like I didn't address, just let me know.

2:08

Okay.

2:09

Um right.

2:13

So starting here on our boards and commissions home screen, um, the home screen is it's basically kind of looks like a kind of a Google analytics type of dashboard.

2:24

Um, and so what it does is basically gathers data from your boards and commissions system and it presents it here.

2:32

Um you can use the dashboard as like a reference point for seeing like how many active boards you have, how many seats are filled, how many are open, um recently submitted applications.

2:46

Those are applications that are going to be received, I believe, within the last like 60 days.

2:51

Um, or we have 16 months or older.

2:55

Um, so you can just kind of look at this dashboard and see this data here.

3:00

Um I can see that like in October, which makes sense that you have a bunch of terms expiring soon, and that makes sense with kind of the election period and things like that.

3:10

So you can see kind of when people's terms are are expiring and if you have a lot of terms expiring within a month.

3:18

And then this guy down here, um, this is something it looks like you've possibly disabled on your application form, but there is a question that we can put on the application form where people can respond to both applicants and members can respond to their home district.

3:36

So if the city of Napa has different districts, like district one, district two, district three, um, you can see um where your your um where your members and where your submitters, your application submitters, your applicants, um, what districts they live in.

3:56

So maybe you look at this graph and there's a lot of people that live in district like six, for example, or district five.

4:03

Um, so that's where that is pulling from.

4:05

It would be a question on the application form.

4:08

Like I said, it looks like it's something that you're you disabled, but we can certainly bring that into the application form if districts is something that is important for your agency.

Speaker 2

4:19

Is it would that be something no?

4:21

Well, because we have a one-city model, like the council members don't do anything by district.

4:29

We don't do any district tracking like financially or project based.

4:33

So I didn't think it was necessary on here.

Unassigned speaker

4:37

Okay.

Speaker 2

4:39

Some cities though, like have a district, like each council member appoints their own people individually, you know, individually or whatever, but we don't we don't do

Unassigned speaker

4:48

that.

Speaker 2

4:49

It's just okay.

4:51

As long as you're within the city limits, you're free game.

4:54

You're free game.

Speaker 1

4:56

That makes sense.

4:57

That makes sense.

5:01

Um and then over here, team, this is pulling from the application form.

5:06

Um, so what this does is it it basically gives us a breakdown of different we ask on the application form.

Summary of Proceedings

City of Napa Boards and Commissions Training - October 27, 2026

On October 27, 2026, City of Napa clerk staff (Tiffany, Emily, Sam) participated in a training session on the Granicus Boards and Commissions software, led by Granicus trainer Kirsten. The training covered system features including the dashboard, roster management, applications, configuration settings, email notifications, and public widget customization. Staff made several configuration decisions during the session.

Discussion Items

  • Dashboard Overview: The trainer reviewed the dashboard, which displays active boards, seats filled and open, recent applications, and term expiration data (noting many terms expire in October).
  • Districts Tracking: The city does not use districts (one-city model), so the district graph on the dashboard is disabled and not needed.
  • Roster Management: Demonstrated filling vacancies, adding ex officio members, using the 'no recruitment' flag, and setting start/end dates. Staff noted they already set end dates to track expiration.
  • Attendance Tracking: The system can track attendance via a liaison who receives a link (no login required). Staff expressed interest in asking liaisons if they want to use this feature.
  • Subcommittees: Trainer showed how to add subcommittees to boards; staff found this useful for future tracking.
  • Custom Reports: Staff requested a custom report for a simplified master roster of current members and vacancies (excluding full application data). The trainer will connect them with a report expert.
  • Application Packets: Trainer demonstrated creating packets that combine board fact sheets and applicant applications into a single document for appointing authorities.
  • System Settings:
    • Auto-Expire Terms: Left unchecked (to allow members to remain until replaced).
    • Auto-Archive Applications: Set to 36 months (staff agreed during session).
    • Limit Applications per Applicant: Left unchecked for now (staff preferred flexibility).
    • Title Case Applicant Names: Enabled to automatically format names properly.
  • Application Form Builder: Trainer showed how to add custom questions, mark them for redaction, and use dashboard data (e.g., filtering by favorite color). Staff noted they can use this to track applicant demographics or preferences.
  • Public Widget Customization: The widget title was changed to "City of Napa Boards, Commissions & Committees" and the standalone apply button was customized with city colors. The embed code will be provided to the webmaster.
  • Email Notifications: Review of auto-generated emails (incomplete application reminders, thank-yous, staff notifications) and creation of a custom email triggered on appointment (e.g., to include orientation details or Form 700). Staff plan to use this for new appointees.
  • User Permissions: Explained administrator, coordinator, board-specific, and read-only roles. Staff may grant liaisons board-specific access in the future.

Key Outcomes

  • Configuration Decisions:
    • Auto-archive applications after 36 months.
    • Enable title case for applicant names.
    • Leave auto-expire terms and auto-reapply emails unchecked.
    • Leave limit on number of boards per applicant unchecked for now.
    • Widget title updated to "City of Napa Boards, Commissions & Committees."
  • Next Steps:
    • Schedule a subsequent training session on Media Manager for Thursday, November 5, 2026, from 12:00 PM to 2:00 PM Pacific.
    • Staff to follow up with IT to resolve encoder and internet connectivity issues.
    • Staff will clean up the user list in the Granicus system to remove inactive or former members.
    • Granicus will share the training recording and embed code for the standalone apply button.
