Discussion Items
- Review and Possible Action on Revised HR Policy C2 Vacation Leave (ID#26-03185): A staff member explained that the revision was needed to update language in the vacation leave policy regarding the vacation run-out for retirees, aligning it with changes already approved in the C4 Benefits Election at Retirement policy. Committee member Dale Matthews asked clarifying questions about whether employees can switch from vacation to sick time if they become ill (per policy, no) and how canceled vacation time is reallocated to other staff (it returns to the employee's accrual bank and is then available for other employees to request through their department, subject to departmental policy). No other questions were raised.

Meeting Transcript
Hey, it's six o'clock. HR committee is in session. We have a quorum. We have four out of our five members here. Okay, let's get this show on the road. We have two items to the first item is approval of minutes today. Item number two six-03184. HR committee minutes from 218 2026. Do I have a motion to approve? I'll make a motion to approve the last committee meeting minutes as presented. And a second. I will second that motion. Are there any discussion of regarding the minutes? Okay. All those approved of approving the minutes say aye. Aye. Aye. No nays. Nope. That is approved unanimously. We have one other item of business tonight. That would be 26-03185. Vacation leave. Okay, you can go ahead and take it from here. Yes, thank you. Good evening. So the vacation leave policy. Uh we have reviewed it and we realized that after our last HR committee, when we updated our C4 policy, benefits election at retirement. We had changed some language regarding the vacation run out for retirees. And upon review of our C2 vacation policy, that language was in there, so we needed to update the language in the vacation policy to be consistent with the retirement policy. So that's what the change is in there in red on the second page. Under 8B benefits run out? Correct. Okay. And that's just in line with the other policy that we had already approved. Correct. Yep. Keep it consistent. Got it. Okay. Any questions? Yes. Well, I have a couple questions and not realizing that was only because of that one change, but I was just looking at the policy in general. And as far as I'm concerned, it's not going to affect me because I don't really work for the city as an employee of the city. But it may be something you guys want to consider. So if I'm on vacation and I have approved vacation and I get sick, can I switch it from vacation time to sick time? Per policy, no. And it's written somewhere that they cannot do that. Correct, yes. Okay.
