We were we love to have you on the board.

Um so a couple things, a couple of things about the library board, the library policy manual, the things that have been changed are the title page, the definitions of the library board, and the meeting room policy.

I didn't pull them out, I just put them in the new policy manual, and you have a new policy manual.

If you'd like to go over those, I can give you the exact page numbers, but they were approved at a February meeting of the City Commission.

Um that's uh librarian's report.

Um I'm a junior at Clovis High School.

Um I don't know.

I signed up to be on the library board because I volunteered at the library and I thought that was really good.

I'm working.

Um junior class president.

Um NHS president.

I took over for Gracie.

Um and I really like reading.

There's my introduction.

I'm sorry, it wasn't working an hour ago.

Um a couple of things on my library's report.

I had one reference librarian leave in early March.

I hired a new reference librarian.

She will start on Monday.

She will also become a notary, so that's good.

We are fully staffed right now.

I um that being said, we are gearing up for summer reading.

The program this summer is called Unearth a Story, and it's all about archaeology and geology and dinosaurs, and you name it, we're gonna have it.

We have Eastern coming, we have the museum from Tucum Carrie coming, we have a kit for the state library, a digging kit.

We have all kinds of things.

We just recently bought a 3D printer for the public to use eventually, but we've been printing little tiny dinosaurs.

I should have brought each of you one.

I'm so sorry.

Um, but they're so cute.

So we'll have lots of swag for summer reading.

We are excited.

Registration begins on May 15th.

Um movies, activities, digs, sidewalk talk, you name it.

We're gonna do it just like always.

Um let's see what else is going on.

You have the monthly statistics on here, and you can see from our monthly statistics that we're doing great guns with notaries again.

Um our gay count is up from what it was this time last year.

We have about 15 to 16,000 people visit the library in the last three months.

Meeting rooms are being used.

The Ruth Warrior room, which is our new free meeting room, is used probably two or three times a week, so that's being done that's been real successful.

Um what else?

This isn't really a project, but we have we have a genealogy group, a fledgling genealogy group, and I met with them the beginning of March, and they asked me succinctly why I was moving them out of their room.

Because I put the magazines in that room.

This is where the genealogy collection is housed.

We moved the magazines in here to make a new make a new meeting room.

Um, but then I was told we they have been bequeathed and are bequeathing the library, I don't know, 200 monographs of genealogy material, everything from Alabama records, marriage and death records to Mayflower people to you name it, they're sending it.

So I've been shifting genealogy like crazy, so I will have room for all these documents in the genealogy room.

So that's kind of exciting to have that kind of um donation if you're genealogist, and I will admit I am not a genealogist, nor do I play one on TV.

Um I don't think of I don't think Clovis is like the Mecca for genealogy research.

It's nice to have these donations, but I don't know how heavily they're gonna be used.

We also have Ancestry.com and Heritage Quest and Find a Grave and some other databases that do the same thing as all these printed documents will do.

But we're getting those.

Um major projects.

We are we are inventorying.

We're doing a complete inventory of our collection.

Our collection is about 140,000 monographs.

We so we have to put them all in order, and then we take a library computer and a barcode scanner and scan them all in, scan all the barcodes one by one by one by one.

Then we run report to find out what's missing, then we go out to the shelves and look and look to find out what's missing.

Then we look to see what's checked out, then we read a port about what's checked out, and then after compiling all these three or four or five reports, we know exactly what's missing, what's checked out, and what's lost.

We have finished children's, which means we finished easy books, juvenile fiction, juvenile nonfiction, um, easy fiction, easy nonfiction, early readers, early media, juvenile media, juvenile magazines, juvenile movies, juvenile audiobooks, easy and juvenile Spanish, easy and juvenile non-fiction Spanish.

We've also finished young adult, which is young adult fiction, um, all the adult media.

Now we are inventorying the Southwestern.

The last time we did this was in 2020 when we were closed during COVID.

It took the whole staff, I don't know, probably a month to do it before.

And then during COVID, we were still operating, we were still checking out books and delivering them to homes and whatever, but the library was physically closed.

The only other time in my tenure that we have done an i complete inventory was in 2015.

And we were allowed to close for a week, and we got the inventory done in a week.

We we work very hard.

This inventory is probably not gonna be done till I would like to say middle of June, and then we'll compile our reports.

Scanning things into a computer is only the very, very, very start of doing a complete inventory of the collection.

Margaret, are you gonna remain open and during this time and try to complete this?

Yes.

So I will so I have a a laptop with a scanner, and I'll send one of my staff and I'll say, Okay, you go out to Southwest, and they scan, scan, scan, scan, scan.

They bring it back and they say, Okay, I've done through um Spanish 729.

And the next person will go out and start scanning it right after that.

And you still think you can complete this within a month?

Mid-June.

That gives me six weeks.

Six weeks, okay.

We're doing Southwest now.

Then we'll have adult fiction, adult nonfiction, adult biographies, and genealogy.

And professional library.

And new books.

And news and Spanish.

And how how many people are working on this?

We're all doing it periodically.

So all of you have my circulation staff.

We have the computer set up behind circulation.

If they have 30 minutes, they go out and scan 20 books.

Okay.

Yeah.

It's kind of a uh it's kind of a fun endeavor because it's fine kind of fun to see what's in our collection, what things need to be weeded or withdrawn.

Um, what needs to be upgraded, how many dinosaur books we actually have.

All those things that are so important to a library.

One of the things I did is I went ahead and inventoried the cookbooks, which is the column word 641.1 through 641.9.

I got rid of 123 cookbooks, but I turned around and ordered 141 new cookbooks.

Because they needed to be updated.

And the ones I got rid of were out of were no old.

They didn't have color pictures.

Um they were falling apart.

Lots of reasons.

Just quite a quite a process.

It is kind of a process.

It's a good process to have.

It leads me to always value the belief that I have that the library is a moving, breathing, living thing.

We're constantly doing something to kind of make maintain it and to keep it um a valuable part of the community.

So I can say you have the statistics.

Uh our 2022 GoBond has completely been expended.

As is as has our state grants in aid.

The GoBond for 2024 will be released in November, and it will be 129,000.

Give or take a couple thousand.

We already have some ear things earmarked.

I want all the upholstered furniture.

I want to change out from fabric to pleather because our because we have some patrons that are compromised, and I would like to change them out to be more sanitary.

Says this to the school nurse.

I know exactly what you're speaking about.

Right.

I'm replacing all the bookends from these.

We have bookends right now that are horizontal.

I'm changing them to vertical.

I bought 15,000.

No, not that many.

I bought 5,000.

It was $15,000.

So I'm gonna do that.

So that's a big chunk of it already.

But the Go Bond, it gets issued every two years, and we have about four years to spend it.

We and we bought a 3D printer this year.

We bought new computer chairs for the public use computers.

That's where we bought the pillar booth, the privacy booth.

So we it's got to be used for things for library patrons.

So State Grant is a little different.

We have purchased our new laptops for inventory.

Um a new desk here or there.

We can use it for office supplies too.

So and that money's gotta be spent by the end of June.

So they'll both be spent.

Um staff updates and up, yeah.

And that's my report.

Margaret, uh, I'd ask you a question.

Like here and all the improvements and all that you've done over time.

Is there anything that you find pressing that obviously the GoBond would not cover?

Is there any big projects that you're hoping to accomplish?

Commissioner Binder, that's a good question.

So I have applied for two grants.

One one grant is to move the memorial that's out on the South Lawn to Veterans Park.

Because I think when when we put that monument in, it was 1996, and we'd been in the building for four years.

I think the more appropriate place would be Veterans Park.

I don't know if I'll get funded that.

Um I was gonna look at ICIP today and maybe get it on there as well.

Another grant that I've applied for is a building, a library, library and material services grant.

I think I either there's a couple things in my mind.

I either want to completely redo the children's area with new shelving and new lots of fun things, or I want the building recarpeted.

That carp that the carpet has been in the building since 1992, and it'll do an upgrade.

So, yeah, I mean there's always something to spend money on.

Yep.

Always something.

Um else.

Okay, so we have I talked about inventory.

Some of my staff has done CPR training, first age CPR, we will continue that.

Um we've all done active shooter training as mandated by HR.

Um just a busy place.

I mean, our collection is good, we're buying books, we're checking out things.

We had a phenomenal astronomy night Saturday night, even though it was cloudy.

Um we had 45 kids last Friday at Legos.

We had so my children's library and Julia was gone to Italy for two weeks.

So Margaret Johnson and I did story time.

So the day Julia came back, I was in the craft room, and this little four-year-old boy said, Oh my goodness.

I thought Miss Julia would be back.

And they said, you be nice to Miss Henshe, she was my librarian at Zia.

I think Julia is back, but that'll be so cute.

Um yeah, I think we're doing great things.

I think we're making a difference again to the public.

I think our collection speaks for itself.

I think our services and our programs are spot on.

And like I you guys know how much I love my job and what I do to serve the community.

Don't think there's any doubt about that.

And I think it's gonna be an exciting exciting summer.

It is we're excited.

We're really excited.

Yeah.

We are really excited.

Oh I do want to ask actually um this past year for NHS we've been trying to get volunteer hours and stuff and for the next year I was wondering if there's any opportunities that you'd like to have oh would you for NHS we've all we're always looking for volunteer hours for our um students and if there's we're I was wondering if there's anything that you would like um us to work on over at the high school anything you'd like us to come over and volunteer for you know Grayson have having student members on the library board is so important because we would like to know what's going on at the schools.

We have reached out to the school librarians to find out what they are offering the students or what kind of research they need.

So I feel like the student members of the library board are real um could be very helpful in doing that.

I'm glad to help you know so um you guys are always welcome to volunteer in the summer we're gonna be hopping we have a Barney costume.

Oh I love it for Barney it's purple and it's a T Rex.

I am tall enough said oh okay all I know is that I'm not tall enough thank goodness and Mr Chairman members of the library board um Ms.

Tatum the City of Clovis has lots of different activities throughout the years for folks to volunteer some of which actually we will pay for um the Great American cleanup was just held on Saturday um that's a great opportunity to volunteer and then um we'll be having a what they call track for trash in September so if you have somebody who is a um who's the coordinator for the National Honor Society group I'd be happy to speak with them and send them a list of all the things that we're doing and that would be great I can um refer you to her I'll send it I'll send an email with her email I think that she'd be really happy to have that.

I think we're always looking for volunteers so I think okay any other any other comments questions okay down for the good of the order committee members anything to report on shall give tax numbers I try to remember okay between our three sites which is here which we are Kathy is very grateful for being here she won't want to come back next year and ever and ever and ever we did total we did 1883 returns that's current year returns and I think we did about 150 prior we did a hundred in Chicum Carrie I think there was 40 in Fort Summer because those are places where we go but um it worked out pretty good this year especially Kathy being over here it worked really well really well the people loved it and thank you to the library staff for all of the headaches that they got from our people but we appreciate you thank you is that about a nor is that pretty normal as far as the attendance of how many we do we do yeah about 1800 to 2000 now the year they had that big huge um rebate thing we did more because that's the only reason they fought right but yeah that's about right and almost half are state only because the state of New Mexico has a low income rebate for people that are on like Social Security and SSI.

So we do a lot of those well that's a that's a great service thank you we're just glad it's over with I'm sure I'm sure anything else Mr.

Chairman members of the library board uh the city of Clovis is actually going to be celebrating 20 years at the Civic Center on May the 15th from 4 until 6 p.m and I'd like to extend a warm welcome um invitation to you all to attend we'll be having heavy horses and just celebrating the Civic Center and the all the things that it's been doing over the last 20 years for the in support of the community so please join us if you're available.
