The Draper Special Event Arena Committee met on Wednesday, June 4, 2025, at 5:30 PM in the Administration Conference Room at 1020 East Pioneer Road. No public comments were made.
Consent Calendar
- Approval of November 13, 2024 Minutes: The committee unanimously approved the minutes from the previous meeting.
Introduction and Welcome of New Members
- Oliver Herrera: New committee member who recently moved to Draper, serves as an HOA president, and has connections with local venue operators. He expressed interest in helping facilitate concerts at the amphitheater.
- Mark Vincent: New committee member who moved from Philadelphia six years ago and previously volunteered for Draper Days. He expressed eagerness to get involved.
- The committee noted that several current members' terms are expiring (four-year terms), so membership is in flux.
Discussion Items
- 2025 Arena Event Calendar:
- Draper Days Rodeo: July 11 (Friday) and July 12 (Saturday).
- Draper Days Horse Pole: July 14 (Monday) – free, non-ticketed event.
- Monster Truck Event: August 15 and 16 – contract signed, 5,000 tickets available, approximately 1,500 sold so far.
- Demolition Derby (potential): The city issued a Request for Proposals, hoping to secure a date in September (targeting September 6). This would be a one-night event. Concerns were raised about debris from past derbies (eight years ago) that left car parts on the arena grounds; the current contractor assures cleanup.
- Arena Volunteer Jobs (Usher, Ticket Taker, Parking Attendant):
- Committee members were asked to recruit volunteers (neighbors, friends, relatives) for event nights. Volunteers receive free tickets for future events.
- The committee discussed that ticket taking is well-covered by staff; greater needs are for ushers and parking attendants. Ushering involves significant stair climbing.
- The committee decided to use a more formal sign-up method (email or paper) rather than informal texts.
- Members volunteered for specific nights: Oliver Herrera for one night of monster trucks; Mark Vincent for the horse pole; Stefania (via phone) for Saturday night of the rodeo; others offered flexibility.
Key Outcomes
- The committee approved the November 13, 2024 meeting minutes.
- New members Oliver Herrera and Mark Vincent were officially welcomed.
- The 2025 event calendar was set with the rodeo, horse pole, and monster truck events confirmed; demolition derby is pending RFP results.
- Volunteer assignments were tentatively made: Oliver Herrera for monster trucks; Mark Vincent for the horse pole; Stefania for Saturday rodeo; others to be assigned via formal sign-up sheet to be circulated.
- Next meeting is scheduled for the fourth Wednesday of July 2025 (to be confirmed via calendar invite).
Meeting Transcript
So now they have this new green light. So and then we do have another recall. That's too much money. We've got the sign highs in the room. Right. Super. Like to welcome everyone to tonight's uh special event. Arena committee meeting. It's Wednesday, June 4th, 2025. I'll go around the room. We'll go around the room, and each person can introduce themselves, and then we'll take the meeting from there. Ben Basson, committee member. Mark Vinson, new committee member. Katie O'Bart Smith, committee member. And Stefania Walk's committee member. Wonderful. And Stefania is joining us via phone. Not attending tonight. Patrick Clayton, Jan Short, Doug Vodry, Walt Roseman, Stephanie Sherrill, Fred Lowry, and Buzz Goodridge. A lot of people not here. Oh. And Annika. Is that Buzz or Bud? Buzz Buzz. Z like E Z Z, right? First thing that we'll do is approve the prior meeting minutes. And that is the one that you took the notes on tonight. So the first order of business would be to approve the prior meeting minutes. I motion that we accept the minutes. Seconded. Done. Great. Introduction and welcome of new members. Oh, tonight's an exciting night. We often don't get new members. The excitement in the room is high. So let's just take a few minutes and uh we'll have these two gentlemen uh introduce themselves and uh love to hear from you. Go right ahead. All right, yeah. My name is Oliver Herrera. Um I recently in the last year have moved to Draper. Um I um uh got a home just close to here to when it was that new neighborhood by the Chick-fil-A, so I always tell my friends and people like oh, oh yeah. Where do you live? I'm like, that is like everyone's like, I know where that is. It's either that or Des Froze. People are like, I know exactly what they're doing. So I bought a home there, uh, love draper immediately, it's just amazing. Um I became uh HOE president, met the um land developer, and he told me, hey, you should you know try you know being part of the committee, it's a lot of fun, and you get to be more involved, and um uh he also knew that I had some political interests as well, so that's why I'm running for counsel. Um and so that's you know, I'm here to kind of just help learn from ground up foundational and and moving forward, you know, um draper, it's people, it's culture, and uh the special events committee, um arena committee, like really stood out to me because like I like to think not to toot my own horn that I'm an interested person. I do a little bit of everything.
