I wanna welcome you, all of you to the uh new community engagement and events committee.

Um I think we're all pretty excited about this.

Uh David's excited because uh he is looking forward to a committee that will actually support him and uh contribute to the success of the city events, and uh I'm personally pretty excited to be working with all of you because my understanding is this is kind of an A team.

Uh we have got the best from previous other committees, as well as uh the folks that were anticipated or had the propensity to be very active in this committee.

So I think this is going to be the best committee that the city has available because there's so much to do, and I think the people that are on the committee are doers.

So uh without further ado, let's introduce ourselves and we'll go around the room and I'll just tell you that my name is Mark Vincent.

Uh I retired from the chemical industry a bunch of years ago, as you can see from the white hair or lack thereof.

And uh uh here in Draper, I help out with Draper Days.

I serve on the Traverse Ridge Special Service District Control Board, which is a lot to say, and uh anything that these guys need, I try to help them out with my name is go ahead.

Um my name is Stefani Wokes.

I um have worked for the city in the past previously for about 15 years, um in that in several capacities, one of which was a special event coordinator for Draper City.

I also prior to that oversaw the mayor's youth council and following that uh experience as event coordinator, I worked in the parks department supporting events.

So I'm bringing that perspective to the committee.

Um I'm currently a graduate student at the University of Utah.

I hope to graduate with my PhD in May.

Finally, yes, thank you.

And I I teach uh adjunct um at Weaver State as a botany and plant ecology professor.

My name is David Wilkes.

I am the staff liaison to this committee.

I've been um I'm a long time resident of Draper.

I just moved out of Draper uh within the last year.

I've raised five children in Draper.

Um I've worked for Draper City for about 15 years.

I've been uh in this position for about 10 years with events.

Prior to that I worked in the parks department, which was great.

I'm very happy uh to be with you guys.

Glad to hear.

I'm Stephanie Sherrill, and I am a region president for Zions Bank.

Uh been a banking for about 41 years.

I'm also a resident draper for about 25 years.

I was previously on the arena committee, previously managed the Draper branch here um for about five years as well.

So love Draper, miss being a draper for work, but still very involved um and want to stay involved um as I get closer to retirement.

The goal is to be in your shoes.

Yeah, come on, you got a long way to go.

No, no, no, not so long.

Uh according to my four the rules of 400k, I'll be yeah, by the end of this year able to draw from that.

That's the whole too much information for the meeting minutes, but hey, you know, goal is at some point to to do more volunteering and less.

I am newly elected to the city council, so I'm the city council liaison, and I um think that my family goes to every activity the city does.

Um I'm Fal Guny Narudia, and uh I've been living in Draper City for five years this summer.

We moved from Louisiana.

It's like completely different, but uh we always wanted to live in Utah and Draper was uh one of the place we found, you know, uh best place to raise our family.

So I work in healthcare and uh I'm in data analytics and uh I'm a takey, so I've been in tech field doing data and other stuff for more than 20 years now and being with United Health Group for the past uh almost nine years and I work from home and uh I did finish uh my second master's degree and then decided to start, you know, being more active in the community and started volunteering, being part of uh Drip City's community engagement committee for uh since November of 24 and uh I'm also um uh uh board of uh uh board of director member and treasurer at Chinning Hall uh Charter School here in Draper and uh just uh loving uh low living in the city and uh two boys and uh we live right here and enjoy everything that CD offers.

I I work in uh either from home in Draper, I've been living Draper for just over three years now, or I'm in uh Colorado at the moment, so I spend about half my time in Colorado working.

Um yeah, two that's like Catherine, two boys we go to every every event in Draper, it seems like um so definitely there for free tickets, Mark.

So make sure we can't.

Yeah, you've got a big family too, Ben, so that's a lot of free tickets.

We tend to put them to work though, they can just come and help every event.

I'm from Tara Brush.

And I've been in Draper for over 24 years and enjoy it here.

Done a lot of volunteering at a lot of the schools here, and I have six children.

I did foster care for a lot of years and adopted two of my kids through the foster care program.

I was on the last community engagement committee for about five years, and so I'm glad to keep going with this um community engagement and events committee now, and looking forward to getting to know everybody better.

It's good to meet you all, and uh we really are uh excited to have this committee together.

I think it's it's going to uh uh pool the resources that might not have been as well used with the uh duplicate committees in the past, and Dave's gonna talk about that in a little bit.

Um I wanted to ask David to just talk about the evolution, how we got to this group, and then what the charter of this group is.

Let's talk about that.

Um my name is Melanie.

I've been served anymore.

Umgment committee.

I think that was our last name uh for the last I think four years or more.

I don't know, Tara can correct me.

Um I am uh business owner, Ben Draper, and um what else have two kids?

One goes to Chenny Hall, the other one goes to St.

John's, and um I mean in Draper for the last I don't know, 20 years, I think, maybe 15.

Um I'll just take us through the whole my whole program right now, if that's okay.

We'll do the minutes at the end.

So the origin of this committee.

Um this committee's been uh free from two prior committees.

One was the um special events committee, the other was the community engagement committee for various reasons.

Um it was felt that the committees could um by we had uh a lack of uh participation with some members, and there was uh felt that there was a a little bit of a lack of uh direction somewhat.

So it was thought that if we combine those two committees, we could get a lot of synergy from it, and um and uh pursue both of those uh directions.

When I looked up what the council had uh what the city council had indicated when they created this, they had said that the community engagement and events committee assists with building community and promoting community events in Draper City.

The committee consists of 11 members.

We have nine members currently, we're still seeking two more members.

The committee consists of 11 members who encourage community involvement, advocate and support activities that cultivate a welcoming inclusive culture, and provide gathering opportunities.

So that is the goal, the mission statement of our committee.

So put a nice uh GIF of one of my favorite uh events, the daddy daughter dance.

That's from several years ago when we were having it at the uh at the day bar.

Events are important to the soul of a community, events mark the times in our lives.

When I think back with the raising of our kids, you think about the Easter egg hunts you took them to, you think about the soccer games you sign them up for, you think about those things that you took them on.

So we have we're in a great position to be involved in people's lives, to give them events that bring families together that bring communities together, so we have a wonderful job and opportunity, and we want to again we're bringing both those committees together.

Everyone on our committee now has served on one of those two, so kind of um that in a nutshell is the purpose of the goal of the committee.

Like I said, the creative crop the community of the crop.

I thought we could talk about how these events, how these community events in Draper City are put together.

Now we're referring specifically to events that are Draper City events, not outsider private events.

Draper City events, we have over uh we have um 75,000 people a year that attend our community events.

We cannot put these events on without these three big groups of people.

One is the mayor's youth council, they're meeting right now in the council chambers next to us.

We have the largest mayor's youth council in the state of Utah.

We're so fortunate.

We have 100 members.

I go to an annual meeting of event coordinators around the state.

When they hear in these meetings, they have a hundred youth councils to volunteer.

Just eyes of them being they can't believe it.

Most cities have a dozen or two.

So we have a hundred and they participate, they turn up for our events.

The Easter event will have 50 of them there.

Um the tree lining ceremony will have all 100 cycle through.

The uh four-day haunted trail will have all 100 of them cycle through.

So it's a big group.

Mayor's Youth Council can't do any events without them.

The park staff.

Jeffers City Parks Department is the main support of our events.

They provide both the staff and uh equipment to put these events on.

Many of the people in the events uh Brent and uh Bryce and Taylor, they've been with the city for over 10 years.

They've been to 10 years worth of events.

They're trained, they're trained in safety, they're trained in how the events are put together.

So we have an incredible support from the park staff, parks and recreation staff.

The last is the community events team.

So with the community events, we have two full-time people in community events, myself and Ivy.

Then we're uh bolstered uh in May, May, May through August, we'll hire seasonals.

Last year we had the most seasonals, we had five seasonals, uh, but generally we'll have two or four.

Last year we had five.

So community events uh team park staff and the mayor's youth council.

So those are the groups that make these events happen.

Is uh is Zach part of the parks staff?

Yeah.

So you know Zach and Mark has volunteered at many of our events.

Mark has volunteered as well, uh voluntoled to be our MC and the announcer at the community stage.

So he's interacted with a lot of the park staff.

He's interacted with the parking staff, he's interacted with Zach who does power.

Um so yeah.

All right, I thought if you take one of these and pass them along, let's look at Draper City's annual event calendar.

That's what you've got in front of you.

Looks like a lot of events.

As you look at that, some events that you see there are overseen by other city departments.

Committees or contractors.

So if you if we look at the top list and we kind of run through it, we're going to run through them all.

So some events are overseen by other city departments, not by community events.

They're overseen by other committees, not your committee.

And they're overseen by some of the events are overseen by contractors, private contractors.

Some events are fully staffed by the Mayor's Youth Council of Community Events and the parks.

So many of these events, we're not looking for staffing from you to help us with those.

Those are already all fully staffed, these events.

Okay.

So let's just run down through from the top.

Daddy Daughter Dance, we just had it.

Dave, could David, can I make a comment?

Oh, yeah.

I just wanted to say, and I've asked David to let us know which events he needs bodies at, which events he needs us to really help out.

And as he's going through the list, we'd like you to uh kind of by the next meeting or so.

Kind of get an idea of where you might want to participate, have your dates lined up, that sort of thing, so that we can start talking about who's going to go where when the time comes.

So keep that in mind as we go through this list.

And it's an awesome list.

I mean, that's why this committee is so cool.

There's so many things to be involved in.

Um show up at any event, but we don't want you to show up and feel like your time is wasted.

So we want you at events where you want to be there and you're engaged with it.

Daddy Daughter Dance fully staffed.

Um, it's run by just a few people.

Volunteer breakfast, fully staffed.

Um, you all should have gotten invitations to that.

I'm still trying to figure out if I'm gonna make it.

It's my oldest grandson's birthday, and so it all depends on that.

Um, Arbor Day, I do not put that one on.

That one's put on by our tree committee.

So I support them with uh supplies, but I offer them, you know, we don't do anything for Arbor Day.

Cinco de Mayo, Cinco de Mayo is a very important event for this committee.

Since its inception, Cinco de Mayo has been the event for the engagement committee.

So this has been their baby.

Um so the committee's uh supplies a bilingual MC, and um that's a that the synchro de Mayor is a really important event for us as a committee.

So we'll all work that one if possible.

Mayor's bike ride is one that this committee could participate on.

It's coming up soon.

Um we'll talk more about it.

Super easy event to operate.

Memorial day is uh fully contained, a really easy event, not looking for volunteers there.

Concerts in the park, easy to do, not looking for volunteers there.

Tiny talk triathlon.

Big event.

We'll have 3,000 kids through that day.

Big event, but it's staffed right now by the parks and by our um by the community events team.

So not looking for one there.

Farmers Market weekly, July, into July through mid-October, operated.

That's a city event operated by an outside contractor, so not looking for support of the committee.

Now we will move into days.

We've got a lot of them.

I'm gonna come back with Draper Days is very important to the city.

Draper Days, I spend my family.

So we'll come back, we'll spend a lot of time with the Draper Days activities.

Draper Days is nine days, it's nine days of non-stop events at many different venues in the city.

So it's an exciting um, it's an exciting event.

Um safety days, that's the police, monster trucks.

So safety days, we don't do anything, monster trucks.

Um, that's an event that our committee will participate in.

Uh, that's an event that the arena committee has supported for the past several years.

That is an event that the engagement committee plays an important role in.

So that's something that our committee will play, will um will do quite a bit at the International Arts and Crafts Festival.

Again, we're just giving you a broad overview.

We're gonna come back to these.

Corner Canyon Half Marathon, that's put on by the parks and recreation department.

Fire Prevention Night is the fire department.

And I think they're going to combine those.

The police of fire will combine them this year.

We're still waiting to get the dates out of them.

So those two events.

Haunted Trail, that is the haunted trail is put on by Ivy and I do all the decorating, and then the parks department and the uh youth council operate it.

This year it will go on for four days in the evenings.

That's an extra one day this year.

It's an extra one day this year.

I don't need we don't need help from the committee to operate it during the operational hours.

But we would welcome the committee to come down while we're decorating.

It takes Ivy and I three or four weeks to decorate it.

And so anyone who has a Halloween fetish, we'd love to have you there.

If you like decorating, you can show up when you want, do what you want.

It's a lot of fun.

Uh small, that's a we could say that a small event, so not looking for assistance from the committee.

Tree lighting ceremony, large event fully covered by the youth council.

Uh, and the same thing with the holiday market and the candy cane hunt.

So here are some.

I'm gonna pass this around as well.

Um, if you would take that.

This next item is the schedule for the week's activities of Draper Days.

I'm passing this out to help us with this next part where we're gonna talk about some of the opportunities for the community engagement and events, the city committee.

These are facets of events that were I'm hoping to develop a relationship, a partnership with you individually.

So if Stephanie had a thing for classic cars, she really likes classic cars, she wanted to help at the car show.

I'd sure like to sit down with her show or all my details, show her my supplies, get her feedback.

I want her involved with it.

I'd sure like to see her involved with it for not just this year, but year after year.

I believe that the city will benefit by involving you in these events.

So if the full-time staff leave, we still have a cadre of uh residents that are invested in this.

These are all things that I really need your help on.

Um, and I want to get with you individually if you have an interest in any of these parade lineup.

You know, we start the parade lineup at six o'clock on Saturday morning, it's from 6 a.m.

till 9 a.m.

We line up on Stokes Avenue and uh Fourth Street between 138th and Stokes Avenue, but I need four people to help there.

Grandstand um for this the last three years we've had a volunteer from the ask Andrew from the planning commission, Andrew Adams.

I don't think he'll do it again.

He's been volunteering, but I'm looking for an announcer and someone to sit next to him.

You have a sheet as the entries come down, you talk, you kind of add a little bit, add a little bit, but you're making announcements and you're uh recognizing these fields.

But we need somebody there, the community stage looking for an MC at the community stage to use the axe to uh watch the green room where they change to hand out uh checks to make sure they have everything they have they need to sign all the waivers, big job.

So we're looking for someone there.

Yeah, David will tell you that if if you have any ham in you, that's I love doing that.

And any of the other things where he says he he needs like an MC or something.

If you got a little bit of ham in you, it's great.

You get up in front of people with a microphone, and you know, you feel like your Beyoncé or something.

Um we sure need uh someone who could interact and help us with food vendors again, just interacting with them.

Um it takes several days, they're very needy, they're one of our largest drivers of income zones, so they're very good for our event.

So we need help there.

The day barn, the day barn at Draper Park is turned into the spot where the staff come and eat.

So I need someone to spend three days in the day barn um watching the catered males come in preparing the other snacks that people take out.

It's an easy job here inside all day.

Information booth, it's over by the vendors, it's for uh Thursday, Friday, Saturday.

You'd staff that horsepower rodeo.

We've worked that in the past, we need us uh there.

Car show.

The car show in the children's bike parade takes place on the Thursday.

So Draper Days, the main park events take place Thursday, Friday, Saturday, Thursday.

It's the car show from four to eight, and the children's bike parade from 6 to 8:30.

So we'll have about 6,000 people in the park that day.

So we need help with both those events.

If you love cars, classic cars, if you love being around them, if you love people that love cars, if you like um the bike parade so much fun, still walkers and jugglers, kids decorating bicycles, it's just a lot of fun.

Pie baking contest, Tara.

Um, and I don't know if you had done that fellow giving me, but Tara had helped us with that in the past.

Your committee helped us.

Pie making takes place at 12:30 on Saturday, it takes about an hour.

People bring their pies in, you help you taste them, you congratulate people, hand out awards, hand out prizes, a lot of fun.

Bingo game.

We are looking for a bingo color, no experience necessary.

So we're looking for a bingo color, and we're looking for other people to assist us at that.

People getting lots of fun to give out uh mini prizes.

So these are all things we're looking for, not just uh you to show up, but we really want your feedback and we want you to be part of the event.

Other ones, Cinco de Mayo, we've talked about that.

That's part of our um stable, international arts and crafts festival, the mayor's bike ride, monster trucks, that's uh ushers, haunted trail, that's decorating black, and here's the two I wanted um Black History Month and the World Kindness Week.

Those were both activities that the engagement committee had overseeing.

So I'm hoping that we'll continue that if you have if if you had an interest in it.

Black History Month, um, they solicited art entries from high schools.

We erect a um uh system in the lobby to display it, and then the committee I believe chooses a winner uh for that Black History Month, and that's an art contest.

And then the World Kindness Week.

Uh I don't want to put you on the spot, but what did you were you involved with that?

Yeah.

What did you all do with that?

So we did put those kindness signs all around the city, and then uh we had we were groups of you know, we made several groups of people and we had different locations and hand out candies and uh kind of uh cards.

Yeah, yeah, so pretty nice.

That's really funny, you know, and and especially this time when we did it at uh park, so it was even better response because when you're standing outside the grocery store, so sometimes yeah, people look at you something.

Oh, yeah.

Yeah, yeah, you're trying to sell something, but uh that was a really uh it I've I've been part of this twice, you know.

Uh we have uh engaged community engagement coming to me twice now, so as well kindness week, and there was more other kindness day or something.

So uh that's a really fun grade to engage with people and you know, see that how they're face light out when you just candy and talk about kindness.

Yeah, nice.

Um and then we can kind of collaborate the next time we meet.

So and I know like people on the call, they may not have seen this uh because we are not screen sharing, so um and I don't have pen, so I was not able to highlight everything that you need half of it.

So uh will we get you know summarized or maybe the slides that you share these?

Yeah, we can talk about how we disseminate the information.

Um and I don't know when we do like the draper days and and lots of big events.

Do you generally get I mean, are there people that volunteer every year who may not be on this or but who are just you know enjoy going to those things and volunteer?

Great question.

The city has a volunteer portal right now.

And so uh right now when someone volunteers on the city's volunteer portal, that volunteer sheet comes to community events, comes to me, comes to the um animal control because they take volunteers and it goes to uh our trails manager because they do volunteers.

So we'll uh scoop up volunteers in the weeks before an event.

So for the Easter egg hunt, uh we've got uh one young lady signed up.

We'll normally get uh two or three people signing up.

Draper days we get um a half a dozen to a dozen if we're lucky, and then we'll try to integrate them into we'll try to put them somewhere.

Um so not as many as you as you think.

Now, if you take all the youth council that show up, yeah, yeah.

But no, we're not dealing with 50 volunteers at Draper Days.

Okay.

Um you have a good document.

Maybe you could bring it at the to the next meeting, but David has here already.

No, he's he's got this list of events and then the number of people that attend from the public, and it it kind of opens your eyes as to like what's the Draper Days Saturday attendance.

Draper Days last year we had 40,000 people in the park.

Yeah.

And it was on the low side because Friday was rained out.

Right.

So yeah, um 50,000 over the two days uh over 50,000 over the three days would be expected.

Yeah.

And that it kind of gives you an order of magnitude of where the most bodies could be helpful when you see the numbers of people.

Yeah, sometimes.

And not all events are are equal.

Uh the Easter egg hunt, you have three or four thousand uh children there, but they're only there for two hours.

Super easy, put the eggs out, have a couple of princesses there.

Doesn't take as much work as you think.

Other ones like the Arts and Crafts Festival, where we have a tent with all those crafts, all those supplies, we have a stage, all the people performing a hundred vendors, all the food vendors, it's really complicated, and so the committee would be really welcome.

So any other slides or no, we're good there.

We're good there.

And as if we weren't gonna be busy enough and and and there weren't enough events.

Um you all have probably heard there's another underlying theme that's going through, and Falguni and I are on the America 250 committee.

And Catherine, I think are you on that too?

I'm not the liaison.

I think it might be Tasha anyway.

I but so I just so you know we're not gonna talk about that much today, other than to say that uh conceptually the America 250 committee is is going to try to uh uh incorporate the America 250 theme in everything throughout the years, so or throughout the year.

So we may be asked to pitch in with that.

Um not sure how involved it might be, but the biggest thing is gonna be a potlo uh a Draper City community potlock on Sunday, July 5th.

Which by the way, I just I wanted to bring up is that's a Sunday.

It is a Sunday.

Is Sunday okay in this community for a pot up for that?

I would think so.

Yeah, and it and that particular program is being pushed by the state.

Yeah, it's a state right thing.

Yeah, because I'm I come from the East Coast, so I and you know I'm not a member of the uh Latter day Saints Church here, so uh when we moved out here a bunch of years ago, uh there was a uh a debate one weekend in our community because Halloween fell on the Sunday, and it was like, well, we can't no, we can't do Halloween on Sunday because that's our that's family day.

And I thought, well, isn't Halloween like one of the most family things?

But anyway, that was I respect it.

We did it on Saturday because Sunday was family day, and I thought about this the other day.

I thought it was just gonna be a culture ish, cult cultural.

Maybe the the pot like might even be a national initiative.

It is, it is, and it was one that was pushed nationally in the state said that seemed like a very Utah thing.

Yeah.

Okay, but Sunday it is.

Um the uh uh the other joke.

Uh there is a and and Dave, maybe David, you maybe you could explain to us what it is, but in front of us all, we have a conflict of interest form that those of us uh on the committee must sign, uh review and sign.

Uh I'll get a copy of it out to those who uh are uh on video right now.

And what's the point of this all, David?

Uh the point of this um every year, every city, every year, every Draper City employee signs one of these.

Every year, every committee member as well signs one of these.

This is to protect the integrity and the interests of the city to make sure that we're not making decisions that have been influenced by uh employment or other things of that sort.

That makes sense, yeah.

Um this is uh it's actually uh a little uh more complex than I realize.

So can we uh gather these at the next meeting?

Absolutely, yeah.

Take these home, uh review these with your council and bring them back.

Uh the only things that I have left on my agenda are the uh reviewing of the previous minutes uh and uh discussion of future meetings.

We had a lot of stuff to talk about, but uh the intention is to really have these meetings start promptly at six o'clock and not last more than sixty minutes, uh, unless we decide that we have a lot to talk about, and we can do that, but these are not gonna be marathons.

Uh so as far as future meetings go, I would like to throw something out there, and I would like you guys to tell me what you think.

Uh with a number of upcoming things up through Draper Days in the International Arts Festival.

I thought it might make sense to meet monthly at least through August, and then after August, maybe bi-monthly would be like uh October, December, and then back to February where we are now, and we might even skip the December meeting because that's kind of a dead time of year and it's the holiday, but we can decide when we get to that point.

But how do you all feel about monthly right now?

Is it enough?

Is it too much?

We always might done monthly.

Yeah, so we uh put it you you folks on the video, does monthly at least through August sound good?

Then I'd like to put that up for a vote that we will meet monthly.

Uh and on the fourth Wednesday.

From now through August.

And after that it'll be mu bimonthly on the fourth Wednesday of the month, uh, unless we decide to change it.
